Privacy and data management
Use of personal data for the purpose of administering donations
The Forum Ziviler Friedensdienst e.V. (ForumZFD) collects personal data in the course of online petitions and donation processes that are necessary and required for the purpose of obtaining and administering donations and for the preparation and execution of online petitions. Your address details are processed, for example. We require the address of individuals in order to send our MAGAZINE to donors and interested parties. We also require your address to send you a donation confirmation.
We only use your address details and, with your consent, your telephone number and e-mail address for our donation service and to provide donation information. Where it is clear when data are being collected that such data are not essential (your address, say,) the provision of these data is voluntary.
Use of personal data for the purpose of communication
We assure you that we do not sell, rent or lend your data to any other organisations or trade your address. Should we require assistance from a service provider to send out written information or the MAGAZINE, or for the security and administration of our IT infrastructure, we will naturally conclude a separate agreement on the protection of your privacy with that service provider. In this event, the service provider may only use data for the agreed purpose.
The security of our IT systems is very important to us. For instance, the database for processing data related to our donation service is on a rented server in Germany, separate to the Forum Ziviler Friedensdienst e.V. This server can only be accessed from certain sections of the Forum Ziviler Friedensdienst e.V. network and is connected to the website with a secure VPN tunnel.

Service for members and regular sponsors
When you become a member or agree to provide regular sponsorship we record the following personal data: your name, address, date of birth, bank details, telephone number and e-mail address. This information is stored in our own IT system, and is given a reference number. Processing these data is necessary for us to perform our contractual relationship and is lawful pursuant to Art. 6, 1) (b) of the General Data Protection Regulation (GDPR).
Applications for job vacancies
You can use our website to apply for jobs advertised by forumZFD both in Germany and abroad. When you do, we ask for personal data such as your name, your date of birth, possibly your citizenship, and your address. So that we can keep you updated on the status of your application we collect your telephone number and your e-mail address. You can also upload your CV, your application letter and your references via a secure SSL connection.
When you submit an application, the time that you submit it and the IP address allocated when you make the submission are recorded.
For individual positions you may give your consent that we may write to you again if similar positions become available. Naturally, this consent has no effect on the status of the application process.
If no consent has been given or requested, all data will be erased 3 months after the application process has been concluded.
Where the advertised job is located outside Germany, colleagues based in a third country will access job application data held in a protected storage place via a secure connection.
Collection of general information when you visit our website
When you visit our website, information is collected automatically. That information is:
• the IP address of the computer being used
• the URL and name of the page being visited
• date and time (minute, second) of your visit
• the accumulated data volume
• the status of access (successful, page not found, etc.)
• information about the operating system and browser version of the computer being used
• the website from which you came to our website
• Browser fingerprint
This information is necessary on technical grounds so that we can provide you with the requested website content and is automatically collected when you use the internet.
None of this information can be used to identify you but it does provide details of your connection at the time you visited our website. We do not statistically analyse anonymous information of this kind. We store the information in Apache log files and in Linux system log files. We have no direct access to these data. Our service provider can access these data for debugging purposes. The legal basis for the temporary storage of the data and the logfiles is Art. 6 (1) f) GDPR. The data are not analysed for marketing purposes in this connection.
Cookies provide us with data such as: status of your shopping basket, the browser and operating system being used. On the basis of this information we can make it easier for you to navigate our website, and it allows our web pages to display correctly.
Under no circumstances are these data shared with third parties or associated with personal data.
Naturally, you can also visit our website without cookies. You can instruct your browser to block cookies. Instructions on how to adjust the settings for your given browser are available here:
Analytical tool Matomo
We use the analytical tool Matomo, an open source software for the statistical analysis of website visits. Matomo uses what are known as “cookies”, text files that are stored on your computer and allow your website usage to be analysed. The information about your website usage generated by the cookie is stored on the server of our service provider werk21. The IP address is immediately anonymised after processing and before storage. You can prevent the placement of cookies by adjusting your browser settings; we would however point out that if you do so, you may not be able to use all of the functions of this website.
To protect the security of your data when it is transferred we use encryption procedures that correspond with the latest technology (here: SSL over HTTPS). An unencrypted request that is sent to our server is automatically transferred to an encrypted channel.
When you subscribe to our newsletter, the data you provide to us will be used exclusively for this purpose. Subscribers may be informed by e-mail about issues relevant to the service or to registration. This may include changes to the newsletter offering, the e-mail for double opt-in, or other technical matters.
If you voluntarily share your address details with us when you subscribe to the newsletter, you are giving us your consent that we may also send you correspondence by post.
So that the newsletter can be sent to you, we require a valid e-mail address. To ensure that the newsletter subscription really came from the given owner of an e-mail address, we use what is known as a double opt-in procedure. We record a newsletter subscription by sending you a confirmation e-mail requesting a response. We record this answer e-mail. Your subscription only becomes active after we have received your answer e-mail. We only collect other data on a voluntary basis so that, say, we can address you correctly by name in the newsletter. These data are not shared with third parties and are used exclusively to send you our newsletter.
If you contact us using the contact form, by e-mail or by telephone, the data you share with us will be used to process your request or for possible follow-on requests.
Embedded YouTube videos
YouTube videos are embedded in some of our web pages. The operator of the corresponding plugin is YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA. If you visit a page containing the YouTube plugin, a connection is created to the YouTube servers. YouTube is informed about which pages you are currently viewing. If you are logged in to your YouTube account, YouTube can associate your surfing with your account. You can prevent this by logging out of your YouTube account before visiting our website or by surfing anonymously.
When you click on a YouTube video, the provider places cookies that deliver information about user behaviour. To prevent this, you can block cookies in your browser.
We do not use any social plugins from the social network facebook.com or from Google.
Erasure and/or blocking of data
We adhere to the principles of data reduction and data economy. We only store your personal data for as long as required by the diverse statutory retention periods or to achieve the purposes set out here. Once the respective purpose has been achieved and/or the retention periods have elapsed, the data are automatically blocked or erased in compliance with the statutory provisions.
We advise you that you have the right at any time to obtain information on the personal data we have stored about you. You also have the right to block that data where this does not conflict with the required storage of data for business transactions, and the right to have your personal data erased. In this connection please contact our Data Protection Officer at datenschutz@forumZFD.de
So that data can be blocked at any time, these data must be stored in a lock file for control purposes. You can also request the erasure of the data provided that no statutory archiving obligation exists. Where such an obligation exists, we will block your data on request.
You can request rectifications or withdraw your consent with future effect by notifying us accordingly.
